Find the disposal and reuse routes
Identify how the organization retires equipment, repurposes devices, returns leased items, sends systems for repair, and handles removable media. Ask which routes may involve media containing FCI and who authorizes the handoff. Include provider-managed equipment where relevant.
Separate business asset disposal from information disposition. A device can be removed from an inventory while its information remains recoverable. A normal file deletion or quick reset should not be assumed to constitute effective sanitization without verifying the method, device behavior, and applicable requirements.
Choose a method deliberately
Have the technical owner select a method appropriate to the media, information, and planned destination, using applicable sanitization guidance and organizational requirements. Consider whether the device supports the method and how completion will be verified. Avoid assuming one procedure works identically for every storage technology.
If a vendor performs the work, clarify what the vendor will do, what the organization must do first, and what completion evidence will be provided. A generic recycling promise is different from a record tied to the actual media. Resolve uncertainties before releasing the item.
Keep a useful chain of responsibility
A practical record can identify the item, internal owner, authorization, method, person or vendor performing the action, completion date, verification result, and final disposition. Use controlled identifiers and storage appropriate to the information; do not publish operational inventories as evidence examples.
For a fictional business retiring several laptops, the key question is whether each relevant device can be connected to a completed action. A single receipt for an unspecified collection of electronics may leave that question unanswered. Reconcile the items with the vendor record and investigate any mismatch.
Review exceptions before they become habits
Plan for failed devices, emergency replacements, and items that cannot be sanitized through the usual process. Keep them controlled while the owner determines an appropriate action. Do not let an inconvenient case bypass the information-handling decision.
Use the formal assessment objectives when deciding whether the requirement is met. This record structure is a suggested working method, not an additional CMMC form. Connect the process with the offboarding workflow so equipment recovery and access removal are both considered when personnel leave.
